Change in Requirements for Receiving a Vehicle or Motorized Equipment

In a continued effort to stop the spread of COVID-19, Tropical Shipping is implementing a contact free way to complete and send our Vehicle Receiving Department all the required paperwork needed to ship Vehicles or Motorized Equipment.

The links below are for the required paperwork, that can be completed online, saved to your computer and emailed to the Vehicle Receiving Department at Vehicles@tropical.com. 

Requirements for ALL Vehicles and Motorized Equipment

  • Vehicles and Motorized Equipment must be Pre-Booked
  • Electronic copies of the required paperwork must be received before being delivered to Tropical
    • Ensure the Booking number is noted on all paperwork.
    • Any Vehicles or Motorized Equipment that is delivered to Tropical prior to receiving the required paperwork electronically will result in delays 

Requirements for Titled Vehicles or Motorized Equipment

  1. Color copy of title front and back with the owner’s name (should be the Consignee)
  2. Invoice with the dollar amount listed
  3. Vehicle Export Power of Attorney
    1. Must be signed in blue ink
  4. Color Photo Id (Passport preferred) of who is signing the Export Power of Attorney
  5. Vehicle Declaration Form
  6. Letter of Authorization Form
    1. Must include a state side address
  7. If the Vehicle or Equipment is in a Company Name, it must have a company letterhead showing that the person is authorized to sign on the Company’s behalf
  8. If they have a lien, a copy of the signed and notarized lien letter must be included. 

Requirements for Non-Titled Vehicles or Motorized Equipment

  1. An Invoice, signed by the buyer and the seller, notarized. Must have the following information on the Bill of Sale:
    1. Year, make and model
    2. Vin or serial number
    3. Value of the vehicle or equipment
  2. Vehicle Export Power of Attorney
    1. Must be signed in blue ink
  3. Color Photo Id (Passport preferred) of who is signing the Export Power of Attorney
  4. Vehicle Declaration Form
  5. Letter of Authorization Form
    1. Must include a state side address
  6. If the Vehicle or Equipment is in a Company Name, it must have a company letterhead showing that the person is authorized to sign on the Company’s behalf
  7. If they have a lien, a copy of the signed and notarized lien letter must be included. 

Non-Operational Vehicles or Motorized Equipment

In the case where the Vehicle or Motorized Equipment is non-operational please include a completed copy of Hold Harmless Waiver – Non-Operable Vehicles.
